Google Calendar reminders
Can Google Calendar send WhatsApp reminders?
The short answer: not on its own. Google Calendar sends notifications by email and inside its own app, and guests receive invitations by email. There is no option to send a customer a WhatsApp message, let alone receive a reply.
So businesses that run their diary in Google Calendar send reminders by hand: go through tomorrow’s events in the evening, copy phone numbers and type "hi, just a reminder about 10:00 tomorrow". That works until there are twenty appointments a day and one gets missed.
AssistantLabs Booking closes that gap. Every appointment, whether booked on your booking page, in a chat with the assistant or by you in the app, goes into your Google Calendar. Anything already in your calendar blocks that time from being booked. And before each appointment, the customer gets a WhatsApp reminder they can reply to.
What changes when reminders move to WhatsApp
Fewer no-shows
A WhatsApp message gets read. A customer who got a reminder the day before and confirmed by replying turns up, and someone who cannot make it tells you in advance instead of vanishing.
Rescheduling without phone calls
The customer replies "can we move to Thursday?" and the assistant offers free times from your calendar, rebooks, and updates the event in Google Calendar.
Your calendar stays the source
Keep working in Google Calendar as you do today. A personal event you add, such as a dentist visit, a holiday or the school run, blocks that time from bookings.
Cancelled slots get filled
When a customer cancels, the slot goes back on the board and the assistant can offer it to your waitlist, so the hour is not lost.
Sent when you decide
A day before, two hours before, or both. Each service can have its own timing, so a long treatment gets an earlier reminder than a haircut.
Every customer in the CRM
Each booking, cancellation and no-show is recorded on the customer record, next to their WhatsApp conversations. You see who always turns up and who needs an extra nudge.

How to sync Google Calendar with WhatsApp reminders
- 01
Connect your Google Calendar
Choose the calendar your appointments live in. From then on every new booking lands there as an event, and anything already in it is blocked from booking.
- 02
Set your services and hours
Add your services, how long each takes and your opening hours, and choose when the reminder goes out. The message wording is approved by Meta as a WhatsApp template.
- 03
Let customers book
Share your booking page, or let the assistant book appointments inside the WhatsApp conversation. Every booking gets an instant confirmation and a reminder before the time.
Where WhatsApp reminders make the difference
Clinics and therapists
Physiotherapists, dietitians, psychologists: a reminder the day before with the clinic address, and the option to move the appointment without calling reception.
Salons and beauty
The client books in the chat, gets a reminder in the morning and confirms. A last-minute cancellation goes back on the board and is offered to the waitlist.
Consultants and service providers
Advice sessions, assessments, private lessons: the reminder carries what to prepare in advance and the meeting link.
Holiday rentals and villas
The stay lands in your calendar, and the guest gets a WhatsApp reminder before arrival with directions and the check-in time.
Google Calendar alone vs Google Calendar with Booking
Google Calendar is excellent for managing your own time. Booking adds the customer’s side.

How do I sync Google Calendar with WhatsApp?
Connect your Google Calendar to Booking and your WhatsApp Business number through the official API. From then on every appointment lands in your calendar and the customer gets a WhatsApp reminder before it.
Can customers cancel or reschedule on WhatsApp?
Yes. The customer replies to the reminder, the assistant offers free times, rebooks or cancels, and the event in your Google Calendar updates to match.
Can I do WhatsApp appointment scheduling with Google Calendar?
Yes. The assistant checks your real availability, including events you added yourself, and books the appointment inside the WhatsApp conversation. It appears in Google Calendar straight away.
